The Wild Travel Safaris TERMS AND CONDITIONS
Please take the time to read and understand the following terms and conditions attached to all our services. To ensure your safari tour with us is a success, we have compiled a list of things you SHOULD understand before confirming your safari.
Reservations
When booking your holiday direct with Wild Travel Safaris, please quote your intended arrival and departure dates, the number of people travelling, their respective genders & ages, Accommodation preferences, and flight details – if known. It will help us make thorough preparations and programming to ensure the safari is a success and indeed satisfying.
For Gorilla gorilla permit reservations, we need your full name as it appears on your passport, date of birth, nationality, home address, and passport number. Please note that for safaris that include gorilla tracking, bookings at least 3 months in advance are strongly recommended if you have specific dates.
Children under 12 years are not allowed to track chimpanzees, and those below 15 years are not allowed to track Gorillas. Anyone with signs of communicable disease will not be allowed to track the gorillas. Wild Travel Safaris bears no responsibility for individuals rejected from tracking by Park Authorities.
Upon confirmation of the safari, the client must inform Wild Travel Safaris of any preferences and special requests for the participants, including medical needs, dietary requirements, disability-related requirements, and any other requests.
Wild Travel Safaris will try its best to meet requests, if possible.
Most Accommodation options offered by Wild Travel Safaris have limited capacity; therefore, it is essential to make reservations well in advance. If you wish to amend your reservation in any way, Wild Travel Safaris will endeavour to make the amendments and confirm them accordingly. Wild Travel Safaris reserves the right to charge an amendment fee for any additional costs incurred. Consequently, we will add these fees to your total invoice to cover the changes.
Payment
You must provide a 40% deposit at the time of booking your safari. Consequently, this payment serves as a formal confirmation of your interest in the trip.
We will purchase your Gorilla and Chimpanzee trekking permits in advance as soon as we receive your full permit fee deposit at the time of booking. Subsequently, you must pay the remaining 60% of the total cost one month before your safari commences. However, if you make a reservation within 30 days of departure, you must pay the entire amount immediately upon confirmation.
We quote all prices in US dollars.
You may make advance payments via bank transfer, provided you cover all associated bank charges. However, if we do not receive payment in accordance with these terms, Wild Travel Safaris reserves the right to cancel your booking.
Furthermore, if you choose to pay by VISA credit card, you must provide written approval and pay an additional 5–7% service charge. Therefore, we recommend completing all transactions at least two months before your safari begins to ensure a seamless experience.
Cancellation
All cancellation requests must be made in writing and shall be effective upon Wild Travel Safaris’ receipt of the request. Refunds for all prepaid funds will be subject to the cancellation fees charged by hotels, lodges, and banks.
A 50% charge applies to cancellations made between 14 and 35 days before your trip. Furthermore, this fee increases to 75% for cancellations occurring between 2 and 24 days. If you cancel within 40 to 80 hours of the safari time, we will issue no refund. Consequently, we reserve the right to deduct all incurred expenses from any funds you have already paid.
Wild Travel Safaris invests every effort to ensure all bookings and arrangements meet your complete satisfaction. However, we cannot accept liability for any injury, damage, or delay caused directly by hotels, restaurants, or transport carriers. Therefore, we recommend that you review the terms of these third-party service providers before your journey begins.
Transfer of Booking:
If you are unable to travel due to extraordinary circumstances, we may transfer your booking to another party, provided the arrangements remain the same and if suppliers (permits, lodges, etc.) are all willing to accept the transfer.
However, Gorilla permits are non-refundable but are transferable under some circumstances.
Alteration of Tour Dates:
Wild Travel Safaris reserves the right to change or adjust the tour schedule, transportation, Accommodation, and services indicated in the itinerary in the event of any unforeseen circumstances before arrival.
If you fail to join a tour, arrive after its departure, or leave before completion, we will not issue a refund for the tour fare.
Wild Travel Safaris reserves the right to refuse any person from participating or continuing on any tour if, in Wild Travel Safaris’ opinion or in the opinion of any other person in authority, the person concerned behaves in such a way that may cause danger, hazard or inconvenience to any third party, damage to property or to environments and ecosystems.
Wild Travel Safaris will not issue any refunds, nor will we be liable for expenses you incur as a result of the termination.
Transport
The mode of transport depends on the number of clients and the specific route detailed in your chosen itinerary. Furthermore, we invest every effort to ensure our vehicles arrive on time and in excellent mechanical condition. However, we cannot accept liability for punctures, breakdowns, or delays caused by road conditions beyond our control.
On most of our safaris, we use 4WD minibuses (up to 8 passengers) with pop-up roofs and 7 window seats for game viewing. We also use 4WD Land Cruisers at some points.
For groups of 12 or more people travelling together, we provide a 25-28-seat coaster bus. Because this vehicle features approximately 16 window seats, everyone in your group can enjoy excellent views throughout the journey.
We provide experienced, English-speaking driver-guides who are the only individuals authorised to operate Wild Travel Safaris‘ vehicles. Because they prioritise your safety and experience, the driver’s decision on all matters—including the chosen route—is final. Furthermore, if unforeseen circumstances like road closures, bad weather, or security concerns arise, we will make alternative arrangements as conditions allow.
Accommodation:
We base our Accommodation on twin bedrooms or tents with private bathrooms whenever possible. While you can request a single room for an extra fee, we cannot always guarantee its availability. Additionally, some facilities offer double beds upon request to better suit your needs.
Wild Travel Safaris reserves the right to substitute equivalent or superior hotels. If a Hotel of equivalent standard is not available, Wild Travel Safaris may substitute with the next-best-quality Hotel or suggest a superior Hotel at an extra charge.
Tour Price:
All prices quoted will cater for the following
- All transportation as per the itinerary
- Park entrance fees,
- sightseeing as noted,
- permits where applicable,
- Accommodation
- Meals (breakfast, lunch, dinner)
- driver’s allowance,
- bottled water, third-party insurance, unless stated differently.
The rates are not inclusive of;
- Traveller Insurance (which should be purchased individually),
- local airport departure tax,
- International flight,
- visa fees,
- tips,
- meals if not mentioned in the itinerary, >supplemental activities not included in the itinerary,
- soft drink, sodas, alcoholic beverages,
- telephone calls,
- laundry and other personal expenses.
Prices quoted to our clients are subject to change without notice and are not guaranteed until confirmed. Prices are subject to change based upon Accommodation availability, your tour alterations and other parameters until the time of full and final confirmation.
Wild Travel Safaris reserves the right to adjust the price at any time should there be any fluctuation in the exchange rate or an increase in the cost of any proportion of the tour. However, the company will make every effort to minimise the increase.
Emergency and Safety:
Wild Travel Safaris will invest all effort to ensure that you are safe while on your safari.
We highly recommend that you take the necessary medical and travel insurance through your Doctor and Agent, respectively, before coming to Uganda.
Liability:
Wild Travel Safaris reserves the right to employ subcontractors to fulfil all or part of the agreed services.
We accept all bookings on the specific condition that Wild Travel Safaris Limited and its agents act only as representatives for passengers. Consequently, we carefully select our partners to manage all matters related to your accommodations, tours, and transportation.
Wild Travel Safaris will not be responsible for errors or omissions by the suppliers.
While we take every possible care, Wild Travel Safaris accepts no liability for any injury, delay, loss, or damage to persons or property.
All information provided in the itinerary to our clients is, to the best of Wild Travel Safaris’ knowledge, based on the latest available information.
Wild Travel Safaris cannot be liable for modified information from third parties after the moment of sending, nor for any obvious typing errors.
The country’s laws govern Wild Travel Safaris’ liability to passengers.
All claims are subject to the jurisdiction of the courts of the country in which the cause of action arises.
Wild Travel Safaris cannot accept liability or pay compensation for unforeseen circumstances beyond the control of the company or its staff, including flight delays/cancellations or force majeure such as war or threat of war, riots, civil disturbances, terrorist acts, boarder closure, acts of government or other authorities, strikes, thefts, epidemics, road closures, industrial disputes, natural or nuclear disaster, extreme weather conditions, fire, technical and/or mechanical problems to transport and all similar events beyond the company’s control.
Complaints/Refund:
Although gorilla permits are 100% non-refundable, you may be able to transfer them in certain circumstances. Therefore, we recommend checking with us immediately if your plans change.
We will not issue refunds for any unused services, late arrivals, or no-shows by any tour members.
You must report any complaints immediately to your driver, guide, or a Wild Travel Safaris representative, as well as the service supplier. Once notified, they will do their best to resolve the matter on the spot. However, if the problem remains unresolved to your satisfaction, you should submit a written report no later than 30 days after completing your tour.
We cannot accept liability for any complaints unless you notify us in accordance with the procedure described above.
Viewing Animals:
Exercise caution when viewing animals, as sightings in their natural habitat are a privilege rather than a guarantee. Furthermore, always maintain a safe distance while taking photographs to protect both yourself and the wildlife.
A gorilla permit guarantees that you will track gorillas to their location, but does not guarantee that the gorillas will be in plain sight.
Confirmation of a safari with Wild Travel Safaris implies that you have fully read, understood and accept the terms and conditions described below.
